What Is GST E Way Bill: Steps to Generate One in Your State Via Online or SMS

An E Way bill, which translates to electronic way bill, is a bill required for the movement of goods and needs to be carried by a transporter. This bill can be generated on the E Way bill portal and is required to be furnished by an individual transporting goods with of value exceeding Rs. 50,000 in a single vehicle. 

To obtain this bill, any registered individual or transporter of the good must register with GST. Upon the generation of E Way bill online, the portal provides a unique E Way bill number (EBN) and allocate the same to the registered individual.

When Should You Issue an E Way Bill Online?

Typically, you should consider issuing an E Way bill when there is a movement of goods with value exceeding Rs. 50,000 for the following purposes:

  • Supply
  • Non-supply transactions, such as job work, line sales, goods supply for exhibitions, fairs and more
  • Inward supply from an unregistered individual

In this regard, a supply can be one of the following:

  • For payment regarding business activities
  • Payments that may not be in the regular course of business
  • Any supply without payment

For the above purposes, an E Way bill must be positively generated by the concerned individual. Note that the issuance of this bill may be compulsory for particular goods even if the total value of such items is lower than Rs. 50,000, such as:

  • Interstate goods movement by principal to job worker 
  • Interstate transport of handicraft goods by any dealer who is exempt from obtaining a GSTIN number or GST registration

Who Should Generate an E Way Bill Online?

An E Way bill is a mandatory requirement for the following individuals:

  • Registered Individuals

When goods worth more than Rs. 50,000 are moved to or from a registered person, an E Way bill has to be generated. Even though the total value of the goods is less than Rs. 50,000, a registered person or a transporter can generate and carry this bill.

  • Unregistered Individuals

Unregistered individuals must also generate an E Way Bill online. When any unregistered individual supplies to a registered person, the receiver will be responsible to ensure that all compliances are met from the end of a supplier.

  • Transporter

A transporter carrying goods worth more than Rs. 50,000 will be liable to generate this bill if the supplier has failed to do so. 

Steps to Generate an E Way Bill Online Through the Portal

Here is a step-by-step guide to downloading an E Way bill online by visiting the online portal:

Step 1: Log in to the E Way bill portal by providing your username and password

Step 2: Click on ‘Generate New’ from the E Way bill option on dashboard

Step 3: Enter relevant details in their required fields

Under transaction type, choose ‘inward’ if you are a receiver and ‘outward’ if you are a seller. Following this, you will have to fill in the subtype.

After following this step, you will have to select the type of document you wish to upload:

  • Document number
  • Document date
  • Document type

Note that after choosing the document details, you cannot change them.

After this, enter the destination and origin details of the package by choosing ‘To’ and ‘From’ options. 

Enter the consignment details in the relevant blanks. The subtype details that you must provide includes:

  • Product description
  • Name of product
  • Harmonised System of Nomenclature (HSN) Code
  • Quantity
  • Tax rate of Cess (if any) in percentage terms.
  • Unit
  • Taxable value
  • Applicable tax rates of CGST and SGST or IGST (To be expressed in %)

Besides, it is also crucial to mention the transportation mode and travelling distance. You can enter either of the following details:

  • Transporter name, ID, date and doc. number
  • Vehicle number 

Note that you have to update the ‘My Master’ section available on the dashboard if the goods that you are sending are used regularly.

Step 4: Click on ‘Submit’

The system will generate an E Way bill with a unique 12-digit number. Take a printout of this bill for further usage.

How to Generate E Way Bill via SMS?

Using a registered mobile number, you can generate E Way bills via SMS. To begin, follow these steps:

Step 1: Enable the SMS E Way bill generation 

Step 2: Register your mobile phone to be used for SMS E Way bill generation

Step 3: Then, to generate, cancel or manage E Way bills, send simple SMS codes to a specific mobile number as per your state requirements.

What are the Documents Required to Generate E Way Bill Online?

You will have to submit these documents to obtain an E Way bill online:

  • Invoice or Challan for consignment of goods
  • Transporter ID or Vehicle number
  • Transporter ID, Transport document number and date on the document

Obtaining an Eway bill online is an easy process, which can be concluded in a few steps. However, you may not need to generate this bill if you are transporting goods via a non-motorable mode.
